DogDollars Inc. (“DogDollars”, “we”, or “us”) is a Canadian company, and we take privacy seriously. This policy explains what personal information we collect, how we use it, and the choices you have. It is written to align with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws.
1. What we collect
- Account information. When you sign up we collect your name, email address, business name, and optionally a phone number, so we can create and secure your account.
- Customer data you enter. Client names, addresses, pet details, schedules, walk notes, photos, and invoices you add to DogDollars. You control this data and may export or delete it.
- Usage analytics. Basic information about how the Service is used, including Google Analytics page views, traffic sources, device/browser basics, feature usage, and error logs, so we can improve reliability and user experience. We keep this minimal and aggregated where possible.
- GPS walk location. If a walker starts a live walk, we record location only while that walk is active, to power check-ins and client reports. Location capture stops when the walk ends.
- Payment information. Card numbers and billing details are collected and stored by Stripe, our payment processor. We never see or store full card numbers on our servers.
2. How we use it
We use personal information to:
- Provide and operate the Service (accounts, scheduling, reporting, payments).
- Handle billing, invoicing, and tax reporting obligations.
- Keep the Service safe — detect fraud, abuse, and security issues.
- Communicate with you about updates, support, and important account notices.
- Improve the product based on aggregate usage patterns.
We do not sell your data and we do not share it for advertising. Full stop.
3. Legal bases
Under PIPEDA, we collect and use personal information based on one or more of: your consent (explicit or implied), contractual necessity (we need it to deliver the Service you signed up for), legitimate interest (for example, securing the platform and preventing abuse), and legal obligations (tax, accounting, and law-enforcement requests where required).
4. Where your data lives
We host our primary application database (PostgreSQL) with OVHcloud in Canadian data centres. Backups are also held in Canada. Some sub-processors necessarily process data outside Canada — for example, Stripe processes payments from servers in the United States. We choose sub-processors that offer recognised privacy protections.
5. Third parties we use
- Stripe — payment processing, subscription billing, and card storage.
- Cloudflare — CDN, DDoS protection, and DNS.
- Google — optional OAuth sign-in.
- Resend — transactional email delivery (receipts, notifications, password resets).
Each of these providers only receives the personal information needed to perform their specific function, under contractual confidentiality and security obligations.
6. Your rights
You have the right to:
- Access the personal information we hold about you.
- Correct inaccurate or incomplete information.
- Request deletion of your account and associated data (subject to limited legal retention).
- Request a portable copy of your data in a common format.
- Withdraw consent where we relied on consent to process your data.

7. Retention
We retain personal information for as long as your account is active. After you cancel, we keep billing and tax records for up to two (2) years to meet Canadian accounting and tax requirements, then delete or irreversibly anonymise them. Backup copies may persist for a short period beyond deletion while they age out of rotation.
8. Children
DogDollars is intended for business use by adults. The Service is not directed at children under 16, and we do not knowingly collect personal information from children. If you believe a child has submitted information to us, please contact [email protected] and we will remove it.
9. Security
We use encryption in transit (TLS), encryption at rest for our primary database, scoped access controls for our team, and regular backups. No system is perfectly secure, but we work to reduce risk and respond quickly to issues.
10. Changes to this policy
We may update this Privacy Policy from time to time. If changes are material we will notify account holders by email or through the Service. The “Last updated” date at the top of this page always reflects the current version.
